Delete your Snapfact account

Account and data-deletion requests for Snapfact Android, iOS and web — FNI Solutions SRL.

This page applies to Snapfact

Snapfact is the financial operations platform of FNI Solutions SRL (BCE/KBO 0799.769.057), Brussels, Belgium. This process covers the Snapfact Android app on Google Play, the Snapfact iOS app, and the Snapfact web app at snapfact.be.

How to submit a request

Use the form on this page. You do not need the app installed and you do not need to sign in first. In the Android/iOS app the same flow is Settings → Privacy and data → Account and data deletion.

We verify identity with a single-use link to the account’s existing verified email. We never use the email typed here as proof by itself. We always return a generic acknowledgement so this page cannot be used to discover whether an email has a Snapfact account.

  • We respond without undue delay and normally within one month. Where a request is complex or numerous, this period may be extended by up to two additional months. If an extension is necessary, we will inform the requester within the first month and explain the reason.
  • We aim to acknowledge requests within 5 business days as an internal service objective. That acknowledgement target does not replace the formal GDPR timeline.
  • You receive status on the verified email (request received, extra information if needed, approved, completed, or rejected with reason and redress).
  • You can also email privacy@snapfact.be from your Snapfact login address.

Four request types (never mixed)

Choose one type. They are processed separately.

  • Personal account deletion: removes your Snapfact login and erasable personal data. It does not delete the organisation, invoices, purchases, other users or shared business records.
  • Organisation closure: only an OWNER / legal representative may request closure of an SME, freelancer workspace or accountant firm. This needs dual approval, retention review, and never auto-deletes client organisations of an accountant firm.
  • Partial data deletion: keep the account; request deletion of eligible optional categories such as Spark conversation history, voice recordings, temporary scanner artefacts, device tokens, optional profile fields, marketing preferences and optional analytics identifiers, where legally possible. Shared financial records are not deleted.
  • Access removal: leave an organisation or remove a member. Membership ends; the organisation’s financial records stay.

What we delete

After identity, authority and retention review, we delete or revoke as applicable:

  • Login credentials, sessions, refresh tokens, MFA/passkeys and device tokens.
  • Erasable profile data and optional Spark / voice / scanner artefacts for that person.
  • Marketing preferences and optional analytics identifiers.

What we keep, and why

Belgian invoices, invoice copies, accounting books and related supporting documents are generally retained for 10 years, calculated according to the applicable legal starting date. When an account is closed, legally retained records are restricted from ordinary processing rather than destroyed, and are deleted when the applicable retention period expires.

Not every data category has the same retention period. The retention matrix remains category-specific.

  • Peppol delivery / legal timestamp evidence: same retention as the related invoice.
  • Snapfact billing invoices we issued to you: retained according to the applicable legal period for those invoices.
  • Trust/identity verification results (not unrestricted document copies) where required to evidence the decision.
  • Security/audit logs with no unnecessary identity-document content.
  • Backups: we do not rewrite immutable backups instantly. Deleted live data that is not legally retained ages out of ordinary CNPG/Barman object-store backups, logical dumps and Snapfact file-volume snapshots according to the documented 35-day rotation. Legally retained records are not covered by ordinary deletion expiry.

SME, freelancer and accountant

An employee may delete their personal Snapfact account and cannot close the company workspace. Organisation closure requires OWNER (and dual approval when several owners, premium, or Trust evidence apply).

Closing an accountant user does not delete client organisations. Revoking accountant access does not delete client financial data. Firm closure and individual accountant-user deletion are separate.
